Collect email
You can add email to a collection. Epiq Discovery supports all standard email protocols, including IMAP (Internet Messaging Access Protocol) and EWS (Exchange Web Services). In IMAP, you can select your Mail Server and authenticate via email and password. In EWS, you can select your EWS URL and EWS Exchange Version and then authenticate via email and password.
Perform the following procedure to collect email.
- Obtain the credentials needed to access the email account. Before proceeding for Gmail or Yahoo mail, enable 2-factor authentication and set up app passwords for Epiq Discovery using the following procedures.
Gmail
Google Account requires 2-factor authentication and application access. To set this up for Gmail, perform the following steps.
Go to https://myaccount.google.com and sign in.
- Select .
- Under How you sign in to Google, enable .
- Select .
- For , type .
- Click .
- Use the generated password that appears as the email password required when collecting Gmail in the following steps.
Alternatively, you can allow access to a Google account with CAPTCHA using the instructions they provide at https://gmailhelp.com/unlocking-googles-gmail-captcha/.
Yahoo mail
Yahoo requires 2-factor authentication and application access. To set this up for Yahoo mail, perform the following steps.
Log into the Yahoo account.
- Select >.
- Select and enable .
- Select .
- For Enter your app's name, type .
- Click .
- Use the generated password that appears as the email password required when collecting Yahoo mail in the following steps.
- In the Main Menu, select.
- Click the button.
- In the page, provide the following information.
- In , select the internet standard protocol used by your email client, or .
- For , in , select the email server from the list: , , , or .
- If you select , provide the server name.
- If you select , the is automatically set to .
- For EWS, perform the following steps.
- In EWS Url, enter your EWS URL.
- In Exchange Version, select version.
- For , in , select the email server from the list: , , , or .
- If prompted to authenticate, provide the credentials.
- In , type the email address for the emails you want to collect. In , type the password associated with the email address. If collecting Gmail or Yahoo mail, supply the generated app password created in the previous steps.
- Clickto validate the email address and password.
- In , select the internet standard protocol used by your email client, or .
- In the page, provide the following information.
In , type a name for this collection.
- In , select where the files exist or add a new source,
- You can select or another source type.
- To add a source, click + next to . In the dialog box, type a name for the source and click .
- In , select a name from the list or add a new custodian.
- To add a new custodian, click + next to . In the dialog box, type a requiredname inand an optional name in , then click .
- In , select which email folder to collect from. Choose from , , and other folders as shown in the email tool.
- Optionally, in choose a and date, which compares the date the email was sent to the specified dates. The date range includes the dates you provide.
- Optional: Select to automate subsequent tasks that run as separate jobs after collection. You can stop the automation anywhere in the sequence by not choosing to select the next option.
- To promote or export the files, select and select an existing filter template.
- To image the promoted files, select and choose an existing image template.
- To create production for the promoted files, select , and choose an existing production template.
- Specify how to stamp the data (Bates Number, Document Number, or File Name). Bates number stamping requires a Prefix.
To create a new Prefix for the number, in Bates Prefix, select Create New and type the prefix in the adjoining box.
To select an existing prefix, in Bates Prefix, select the prefix in the dropdown.
in # of digits, provide the number of digits for the Bates number, and in Begin Bates, enter the beginning number.
- Define the sort method for the data (, ,, , or . You can select up to three levels of sorting and specify whether to keep families together.
- Specify how to stamp the data (Bates Number, Document Number, or File Name). Bates number stamping requires a Prefix.
- Click .
- To delete any app passwords for Epiq Discovery that you implemented for Gmail and Yahoo, as needed, perform the steps recommended by those respective companies.

- For Yahoo, return to the Google Account security page https://myaccount.google.com and remove the Epiq Discovery app password you set.
